After a sales call, the report sometimes amounts to three lines scrawled on a notepad, if it gets written at all. The objection that was raised, or the commitment made on a deadline, stays in the rep’s memory until the next team catch-up. We build systems that pull these elements out of a call, a meeting, or a written exchange, and put them into a format the sales team actually uses.

A notepad that never becomes a report

A sales meeting report is rarely written while the details are fresh. The rep moves from one call to the next, jots a line or two on a notepad or in a diary, and leaves the write-up for the evening, or the following week, by which point the CRM’s notes field is still blank. When the sales manager sits down for Friday’s pipeline review, several opportunities have no usable history, and reconstructing what was actually said means chasing each rep individually.

A flat summary is no substitute for commercial judgement

We often see systems that simply summarise the call transcript fall short: they produce a paragraph that reads the same for every client, without flagging the objection that could sink the deal versus the throwaway remark. Reps, who already know what they said, stop reading it within a fortnight and go back to their old habits. The risk here has less to do with the technology than with use: a report nobody reads adds work without adding commercial judgement.

Before automating this, calls you can actually record

We only take this on if calls can actually be recorded, which means telling the client and choosing a capture tool that fits the phone or messaging system already in use, or, failing that, if written exchanges are kept somewhere retrievable. We also need someone, usually the sales manager, to have already defined what the CRM means by a decision, a commitment, or a next step; otherwise the model inherits an ambiguity it cannot resolve on its own. Where sales activity amounts to a handful of conversations a month, we would advise against automating this: the investment rarely pays off.

Where the rep takes back control

We transcribe the conversation, extract decisions, objections and next actions, and draft a structured report directly inside the CRM record. The rep reviews it before it is saved: correcting the deal stage, adding the nuance the model could not pick up, and confirming priorities before the information feeds into sales reporting.
