A contract clause, an earlier version of a specification, a technical note written by a colleague who left two years ago: the information exists somewhere, a shared folder, a retired intranet, an email thread. Finding it means remembering the right folder, the right date, or the right file name, or knowing who still does.

A keyword search returns documents sharing the same terms as the query, without judging whether the answer is actually in them. If a document uses a synonym, an internal abbreviation, or different phrasing, it stays invisible even when it holds exactly what’s being looked for. On technical or contractual files, that vocabulary gap is costly, and it widens with every new team member who never wrote the original documents.

The documents still have to be usable

Indexing assumes machine-readable documents, a poor-quality scan or an image-only PDF stays out of reach without an extra recognition step, and clear rules on who can see what, carried over from existing access controls rather than reinvented. A document store that has never been organised or classified needs tidying up before any intelligent search project starts; skip that step and the result is an index of disorder rather than knowledge.
