The same email, retyped for the tenth time
The support agent answers, for the tenth time this week, a question about the return window, retyping the reply already sitting in a support ticket closed two months ago. The canned-response field exists, but nobody has time to keep it current. The answer already exists somewhere in the exchanges; it simply isn’t connected to anything, so it gets rewritten from scratch every time someone new asks.
True the day it goes live, wrong three months later
An FAQ generated from old tickets captures a return policy that has since changed, or merges two correct answers written by two different agents into a phrasing that is no longer quite right. This risk sits mainly with the missing owner who should republish as soon as a rule changes. Once live, an FAQ ages fast if nothing connects it back to the tickets still arriving.

The project needs a knowledge base that stays genuinely current, a wiki left untouched for a year won’t do, and one identified person who signs off on each answer before it goes live. Without that role, the system quickly publishes answers that look right on the surface, and nobody notices until a customer complains or repeats the same question a second time.
One last look before publishing
We build a system that spots recurring questions in tickets and exchanges, groups the different ways they are phrased, and drafts an answer from validated content. Every draft waits for the named editor’s review before publication. Once live, user signals, a “not helpful” click, a question resurfacing in a different form, flag answers that need revisiting.
