That is rarely the case in a document store that accumulates versions without sorting them. The safety instruction someone needs at seven in the morning

A technician checking the lockout procedure before starting work rarely has the time, or even the access, to dig through the shared drive where successive versions of the document sit stacked on top of each other. The QSE manager fields the same question by phone several times a week, for lack of one fast, single point of access. That lost time repeats identically across every team and every site, for questions whose answer already sits somewhere in black and white.

A confident answer, sourced from the wrong version

A chat connected to a poorly maintained document store answers with the same confidence whether it found version four, currently in force, or version two, withdrawn a year ago but never actually deleted from the folder. Nothing in how the answer is phrased tells the two cases apart, and the person reading it has no reason to ask. It is exactly on safety procedures that this confusion costs the most.

Current procedures, or nothing worth querying

The project depends on internal documentation that is genuinely kept current, with obsolete versions removed or clearly marked as such, and on a governance rule stating who may update the index. Querying a disorganised document set only makes the disorder faster to retrieve. Where that documentation discipline doesn’t yet exist, it is worth building first, before adding a chat layer on top.

On site, the QSE lead keeps the final say

We index only validated content, and every answer cites the document and version it came from. Questions touching on safety, or flagged as ambiguous, go straight to the QSE manager, whose judgement remains the reference point on those subjects.
