An engineer in France and a colleague at a German plant argue over a tolerance on a drawing, each speaking their own language, each using acronyms specific to their trade and their site. A third participant, from procurement, follows along in approximate English and hesitates to interrupt and ask for a technical term to be repeated. The meeting has to move at the pace of a same-language conversation, and the minutes that come out of it need to stay usable for all three teams, each with its own vocabulary habits.

Off-the-shelf tools stumble on trade vocabulary

A consumer translation tool handles an everyday sentence well and mangles a technical acronym, a standard’s name, or a job-title abbreviation. In a technical meeting that slip often goes unnoticed in the moment, then resurfaces later, once a decision has been made on a sentence nobody actually understood.

An existing glossary is the starting condition

This only works if a glossary of the company’s technical terms and acronyms already exists, or can be built quickly with the teams involved, and if they have agreed on what level of error is acceptable for the type of meeting. A design review can tolerate an approximate phrasing that the written minutes will later correct; a negotiation over contractual penalties cannot. Without that groundwork, live translation adds ambiguity precisely on the points that commit the business.

What still gets confirmed after the meeting

We build a system that transcribes and translates the exchange live, as subtitles inside the videoconferencing tool, using a glossary specific to the sector and the company. On sensitive points, a figure, a clause, a delivery commitment, participants restate them live, and the bilingual transcript stays available afterwards to check an exact passage.
